Getting Started
How do I create my first event?
Sign up, then click 'New event' on your dashboard. Choose the occasion (a wedding, christening, birthday or a proposal) and fill in the few details it needs, such as the names, the date, the time and the place. Next, choose a template, or start from the one you picked on the Templates page. You'll go straight to the editor, where you add everything else: your words, the program, people, photos, gifts, questions and RSVP settings. You only need to verify your email when you publish.
Can I combine a christening and a birthday?
Yes. Parents often hold the baptism, dedication or naming day on the child's birthday, and one invitation can carry both. Create a christening (or choose Birthday, then "With a christening"), tick "It's their birthday too" and pick the age. Guests read, for example, "Christening & First Birthday", and all 38 christening templates show it, with the ceremony first and the party after. You can switch it on or off later in the editor.
Is Our Sweet Day free to use?
Yes, up to a point. Every event is free for up to 20 guests (10 invites for a proposal), with your full design: every template, palette, type pairing and the photo gallery. If an event needs more guests, it takes one credit of its kind. Building and previewing is always free.
What can I use before I publish?
Everything. All 315 templates, every palette and type pairing, the photo gallery and every section are available in the editor, with a live preview in a phone or desktop frame, and a free event shows all of it on its public link. Paying only matters when an event needs more than 20 guests.
Do I need a credit card to sign up?
No. Signing up is free with just an email address, and no card is needed. You only pay if an event needs more guests than the free allowance.
What kinds of events can I create?
Weddings, christenings (including baptisms, baby dedications and naming days) and birthdays, plus asks: a personal invitation to be a godparent, to take a role in the wedding party, to be a sponsor, or to be someone's date or escort. There are 111 wedding templates, 38 christening templates, 130 birthday templates with separate designs for kids' parties, debuts and adult birthdays, and 36 ask templates.
Event Management
How do guests RSVP to my event?
Each guest on your list gets a personal invitation link, which you can email from Our Sweet Day or copy into WhatsApp, Messenger or any messaging app. Guests open it and reply inside the template's own RSVP section, with their attendance, plus-ones (adults and kids), dietary needs and an optional note. You can also share your public link (e.g., oursweetday.com/your-event-name) or a shared link for a group chat.
Can I set RSVP deadlines?
Yes. In the editor's RSVP tab, set a 'Reply by' date, which guests see on the invitation, and a 'Changes allowed until' date, after which guests can no longer change their reply. Leave the second date empty to lock each reply once it's sent.
How do I track guest responses?
Your event page shows live RSVP totals: attending, not attending, not sure and pending. Guest Analytics adds the full headcount split into adults and kids. Open the Event Manager for the detailed guest list, where you can filter by status, resend personal links and assign tables.
Can I export my guest list?
Yes. In the Event Manager's Guests tab, export your guest list as a CSV with names, email addresses, RSVP status, adult and kid plus-ones, dietary needs and notes. You can also import guests from a CSV file.
How do plus-ones work?
For each guest, set how many adult and kid plus-ones they may bring. When they reply, they choose how many are coming, up to that limit. In the RSVP tab, switch on 'Ask for the names of plus-ones' if you need names for seating or place cards.
Can guests change their RSVP after submitting?
Yes, guests can change their reply until the 'Changes allowed until' date you set. After that, their reply is locked. If you need to let a guest change a locked reply, you can unlock their RSVP from the guest list.
Can I plan the seating?
Yes. The Event Manager's Seating tab is a floor plan of your venue: set the room's size, place tables and fixtures such as the stage or dance floor, then drag guests from the list onto their seats. Download the plan as an image with who sits where. When you switch it on, each guest sees their table on their invitation and can open the whole room.
Can a planner or family member help manage my event?
Yes, on a paid event. In the event's Access tab, create a password-protected link for each person. For every part of the event (the design, guests, asks, seating, checklist, budget and analytics) you choose no access, view or edit: a planner can run the guests and seating, a parent the budget, a friend the invitation's design. They need no account. Publishing, the date, payments and the links themselves stay yours. A link can have an end date, and can be changed, switched off or deleted at any time.
What is the 'Not sure yet' option?
In the RSVP tab you can offer a 'Not sure yet' answer. It's useful when you send invitations early. These replies appear in your guest totals so you can follow up closer to the wedding.
Proposals
What is a proposal?
A personal invitation to one person, asking them to take a part in your day: to be a godparent, a sponsor, part of the wedding party, or someone's date or escort. Each person gets their own link to a page made for them, with your own note, and answers yes or no right there.
Which asks can I send from my event?
From a wedding: the wedding party and sponsors. From a christening: godparents and sponsors. From a birthday, whichever fits: sponsors for a kids' party, sponsors and a date for a grown-up's party, and sponsors and an escort for a debut. Make one from the event's Overview or its Proposals tab. You can also make a proposal on its own, with 'New event' and the occasion 'A proposal'.
Where do I see who said yes?
In the event's Proposals tab. It lists every proposal you made from the event, each with its yes, no and waiting, and the people of the chosen proposal right there: add someone, send their link again, or open the proposal's design. The event's Overview shows the totals at a glance.
Can each person get their own message?
Yes. Each person can have a personal note, and their own 'Why you': the reasons it has to be them, shown on their link in place of the shared ones. Asking several godparents or sponsors? Use 'Duplicate for someone else' on a person: the role, the note and the reasons come with it, so you only change the name and tweak the words.
What do proposals cost?
A proposal is free for up to 10 people. Past that, it takes a proposal credit ($9.99). If you pay for the event it belongs to ($25.00), all its proposals are free, with no limit. Paid for one of its proposals first and decide on the event later? What you paid comes off: the event then costs $15.01. That reduction is given once per event, however many of its proposals you paid for, and applies when you pay at checkout (a credit unlocks the event as it is).
Can a planner or family member see the proposals?
Yes, on a paid event. When you make a client access link, set Proposals to view or edit. With view they see every proposal and who answered; with edit they can also add people and send their links. Publishing, making a new proposal and payments stay with you.
AI Builder
What is the AI Builder?
A way to get a design no template has. Describe your idea in your own words, or add a picture, and it plans the look, paints the artwork and builds a working, animated invitation. The first version takes ten to twenty minutes; you can leave the page while it works and come back when it is ready.
Can I change what it made?
Yes. Tell it what to change in plain words, such as bigger names or a calmer animation, or press 'Change a part', tap the part in the preview and say what should change. Each message makes a new version. It can get things wrong, so tell it what is off as many times as you need. There is a daily allowance of new designs and messages, shown in the AI Builder.
What does an AI Builder design cost?
Making a design, trying it, and using it on an event to fill in your names, photos, date and music are all free: you can see and feel the whole invitation first. It is paid when the event goes out, whatever its guest count, even with only a few guests: $25.00 for a wedding, christening or birthday, or $9.99 for a proposal (or one credit of its kind). On an event that is already paid, it costs nothing more.
Design & Customization
How do I customize my invitation?
Open your event and click 'Edit invitation'. The editor has eight tabs: Design, Music, Words, Day & places, People, Photos, Guests and RSVP. Birthday invitations use the same tabs without People, and a debut adds The 18s. A live preview in a phone or desktop frame shows your invitation as guests will see it, and your changes save automatically.
What templates are available?
There are 111 wedding templates, 38 christening templates, 130 birthday templates and 36 ask templates, each with its own layout and structure. A few of the wedding templates show the range: The Suite (a stationery suite you scroll through card by card), The Feature (your wedding as a magazine), Premiere (your wedding as a film, with an 'admit one' ticket RSVP), Botanica (a pressed-flower field journal), Monument (a Swiss typographic poster with giant date numerals and a countdown) and Postmarked (a destination wedding by airmail, with a boarding-pass RSVP). You can compare live previews on the Templates page.
Can I change colours and fonts?
Every template comes with its own curated colour palettes (three or four) and type pairings (two or more), each chosen to work with its layout. Pick them in the Design tab.
Can I change my template after I've started?
Yes. Click 'Change template' on your event page, or use the Design tab in the editor. Everything you've written, including your words, venues, program, sponsors, entourage, photos and RSVP settings, carries over. Only the palette and type pairing reset to the new template's first option. You can switch as often as you like, before or after publishing.
Can I hide sections?
Yes. In the Design tab, switch off any section you'd rather keep private: Our story, Ceremony & reception, Program, Entourage & sponsors, Attire, Photos, Gifts, Questions or RSVP. Sections you haven't filled in never appear, so you don't need to hide empty ones.
What can I put on my invitation?
Your names and parents; an opening line, invitation wording, closing words and hashtag; your story with milestones; ceremony and reception details with notes and a map link; the program; principal sponsors, candle, veil and cord sponsors, and the entourage; a main photo and up to 12 gallery photos; a dress code note with up to 6 colours; a gifts note and links; questions and answers; and your RSVP settings.
How do I add sponsors and the entourage?
In the People tab, add principal sponsors as pairs, or paste a whole list at once with one pair per line. Tap Candle, Veil or Cord to add secondary sponsors, and tap role chips such as Best Man, Maid of Honor, Groomsmen, Bridesmaids, Ring Bearer or Flower Girls to add entourage roles. You can also add your own roles.
Can I upload my own photos?
Yes. In the Photos tab, upload a main photo and click it to set the focal point, so the important part stays in frame however the template crops it. You can add up to 12 gallery photos and change their order. JPG, PNG, WebP and HEIC (iPhone) photos are supported.
How do I preview my invitation?
The editor's live preview updates as you type. Switch between the phone and desktop frames, or click 'Open preview' to see the invitation full size in a new tab. You can also click 'Preview invitation' on your event page. Previewing is always free.
Pricing & Payments
What does it cost?
Every event is free for up to 20 guests, and uses no credit. Past that, it takes one credit of its kind: a wedding, christening or birthday credit is $25.00, and a proposal credit (for a proposal past 10 invites) is $9.99. Once an event is paid, the proposals you make from it (sponsors, godparents, wedding party, a date or an escort) are free, with no limit. Paid for one of its proposals first? That comes off the event: it then costs $15.01. A design made in the AI Builder is paid when it goes out, whatever the guest count (see AI Builder below). There is no subscription.
What are credits?
A credit unlocks one event past its free allowance. Credits have a kind: a wedding credit unlocks a wedding, a christening credit a baptism, christening or naming day, a birthday credit a birthday ($25.00 each), and a proposal credit a proposal ($9.99). Buy them on the Pricing page, or from the event itself when it needs one. Approved event organizers can buy any-occasion credits in packs: 20 for $200.00, or 10 for $110.00. Credits never expire.
What payment methods do you accept?
PayPal, in US dollars, with a PayPal account or a card. In some countries, checkout also offers a local payment method.
How long does payment verification take?
Payments are confirmed straight away, and the event or credits are added at once. If something looks wrong, contact our support team.
Do credits expire?
No. Credits never expire. There are no monthly fees or subscriptions: you only pay when an event needs more guests than the free allowance.
Can I get a refund?
Yes, if you ask within 14 days of the purchase and the credit it bought has not been used. A credit bought from an event's checkout is used on it straight away, so it can't be refunded. The refund goes back to the account you paid from.
What changes when I pay for an event?
Only the number of guests. A free event and a paid event look the same to guests: your template, palette, type pairing, photos and every word. A free event can invite up to 20 people (counted with the plus-ones you allow each guest); a paid event has no limit, the proposals you send from it are free, you can share it through client access with a planner, family or a vendor, and you can download a high-quality A4 copy of the invitation's first screen to print.
Publishing & Sharing
How do I publish my event?
From your event page, click 'Publish'. You need a verified email address. Publishing is free while the event is within 20 guests; if it has more, you are asked to pay for it or use a credit first. Once published, your invitation is live at its public link, and every guest's personal link works.
How do I share my event invitation?
Send each guest their personal link from the guest list, either by email from Our Sweet Day or by copying it into WhatsApp, Messenger or any messaging app. You can also copy your public link (e.g., oursweetday.com/your-event-name) from your event page, use the QR code shown there, or create a shared link for a group chat.
Can I unpublish an event?
Yes. Click 'Unpublish' on your event page. Your invitation links stop working, so guests can no longer view it or reply. You can republish at any time at no cost.
What happens after my event date passes?
Your invitation stays accessible after the wedding, so guests can still view it. You can unpublish it whenever you're ready.
Can I download my invitation as an image?
Yes. You can download your invitation as an image (PNG), which is useful for guests who'd rather have a picture, or for printing.
How long do published events stay active?
Published events remain active with no time limit. Your event page stays live as long as your account is active. You can unpublish at any time if you no longer need it.
Account & Settings
How do I change my password?
Open Settings from the app menu and go to the Account section. Enter your current password and then your new password to update it.
How do I update my profile?
In Settings, you can update your name, upload a profile picture, and manage your display preferences. Your profile picture appears in the dashboard header and is associated with events you create.
How do I manage email notifications?
Go to Settings > Email. You can switch each of these on or off: a confirmation when your event is published, an email when a guest replies, and news and offers. Account emails, such as password resets and payment receipts, are always sent.
Can I change my email address?
Email address changes currently require contacting support to ensure account security. Reach out to oursweetday@oursweetday.com with your request.
Can I earn by recommending Our Sweet Day?
Yes, through the affiliate programme. Apply under Settings > Account > Programmes. Once you're approved, you give your audience your own discount codes and earn 15% of every sale made with them, rising to 50% as your sales grow, paid by PayPal. The Affiliate page explains how it works.
How do I delete my account?
Go to Settings and look for the account deletion option. Please note that this permanently removes all your events, guest data, and account information. This action cannot be undone.
I forgot my password. How do I reset it?
Click 'Forgot Password' on the login page and enter your email address. You'll receive a password reset link via email. Click the link and set a new password. The reset link expires after a limited time for security.
Privacy & Security
Is my data secure?
Yes. Our Sweet Day uses encryption for data in transit (TLS/SSL), secure password hashing, access controls, and regular security assessments. We implement rate limiting, XSS protection, SQL injection prevention, and maintain audit logs for security monitoring.
Who can see my event invitation?
Only people with your event's unique link can view the invitation. Events are not listed publicly or indexed by search engines. You control who gets the link and can unpublish at any time to revoke access.
What data do you collect from my guests?
Guest data collected through the RSVP form includes: name, email (optional), attendance status, plus-ones, dietary restrictions, and any personal message they choose to share. This data is only visible to you (the event creator) and is not shared with third parties.
Do you use cookies for tracking?
We use essential cookies only — to maintain your login session and remember your preferences. We do not use third-party tracking cookies for advertising purposes.
Can I request my data be deleted?
Yes. Under our Privacy Policy, you have the right to request access, correction, or deletion of your personal data. Contact oursweetday@oursweetday.com to exercise these rights.
